According to TSN.ua: Ukraine is moving forward with the switch to digital work records, with a final deadline set for June 10, 2026. Failing to comply could create serious obstacles when applying for a pension, including the potential loss of certain insurance periods. The Pension Fund of Ukraine stresses that digitizing employment documents is essential to prevent future complications. This reform is part of a broader effort to modernize the country's pension system and reduce reliance on paper-based records.
Digitization Requirements
Preparing for the transition involves scanning several key documents, such as:
- military ID
- diploma or other educational certificates
- child's birth certificate
Scanned copies must meet specific criteria: JPG or PDF format, file size up to 1 MB, resolution of at least 300 dpi, clear and legible text, and proper chronological order.
Only work periods where the employer paid contributions at or above the minimum level will count toward the total insurance record. Additionally, mandatory identity verification for certain pensioners must be completed by April 1. This can be done online via video call, at a Pension Fund service center, or using an electronic signature.
Missing the digitization deadline can lead to serious issues: the need to manually confirm your work history, delays in receiving payments, and the risk of losing credit for some employment periods.
