The electronic labor book is a digital equivalent of the familiar paper document, designed to reduce bureaucracy and eliminate the risks of data loss or damage.

Algorithm for Digitizing the Labor Book: Instructions for Employees

Data can be submitted by both employees themselves and their employers. The process takes place through the Pension Fund of Ukraine portal in the 'Communications with PFU' → 'Information about Labor Relations' section.

To digitize the labor book, you need to:

  1. Scan all pages of the paper labor book. The scan must be in color (.jpg or .pdf), and each file should not exceed 1 MB.

  2. Upload these files to your personal account on the PFU portal.

  3. Confirm the submitted documents using electronic signature, BankID, or 'Diya.Sign'.

What Documents Also Need to be Digitized and Submitted to PFU

Important: documents confirming

work experience, especially acquired before 2004
(before the introduction of the pension insurance system) must be added to the electronic labor book. This is critically important for the accurate calculation of pensions. You need to add:
  • Diplomas of education;

  • Military ID;

  • Child's birth certificate (for women);

  • Certificates or orders (for clarifications).

Control and Correction of Errors

You can check the entered data in your personal account on the PFU website. Data on work experience from January 1, 2004, is added automatically. Experience before this date must be entered manually, uploading scanned copies.

The paper labor book can be kept until June 2026. After this date, it will only have archival value.

In case of errors found in the electronic version, the data can be corrected. To do this, you need to resend scanned documents with an electronic signature. To correct one inaccuracy, it is enough to send only the scan of that page with the correction along with the title page.

The process of transitioning to electronic labor books promises to simplify the interaction of employees with the Pension Fund and reduce the risks associated with paper documents. This is an important step towards digitizing government services and increasing transparency in the field of labor relations.
