According to Novyny.live: Citizens who held jobs before January 1, 2004, and still possess a physical work record book must submit it for scanning to the Pension Fund by June 10, 2026. This requirement stems from the nationwide shift to electronic work records, a move designed to transition documents into a digital format and better preserve information on employment history.

To convert a paper work record into an electronic version, individuals need to provide color scans or clear photographs of every filled page in the booklet. This step helps safeguard employment data in case the original paper document is lost or damaged. Importantly, even after the June 10, 2026 deadline, people can still upload their documents, and no work history will be forfeited.

Proving Employment History

If the original work record book has been lost, the following documents can serve as substitutes:

  • employment contracts;
  • official certificates from employers;
  • extracts from company orders;
  • archival records of salary payments.

Former coworkers may also act as witnesses to confirm an individual’s work history. These alternative proofs become especially valuable when the primary document is missing.

The transition period for adopting electronic work records is scheduled to conclude on June 10, 2026. Ukrainians who have not yet digitized their work books still have ample time to complete the process. Digitizing these documents not only preserves critical career information but also reduces the risks associated with losing paper records.
